Artomobilia runs on the people who give their time to it. On event day, you are the ones who guide entrants to their spaces, answer questions, keep the crowd moving safely, and set the tone that visitors remember. The event simply does not happen without you, and the work you do makes the difference between a good day and an exceptional one.

This year the footprint is larger than ever. Artomobilia now fills Main Street, Rangeline Road, and Monon Boulevard both north and south, giving guests more to explore and giving us more ground to cover well. A bigger event means clear roles matter more, and that everyone knows where they are needed and what to expect.

This page is built to give you that structure. Below you will find the detail behind the day, your role and responsibilities, where to be and when, and the information you need to step in with confidence. Review it before you arrive so that when the morning comes, you are ready.


Volunteer Parking

If you are working in the Marshaling Yard, please plan to park near the St. Vincent Women's Hospital. If you are working in the Arts & Design District, parking can be challenging, but an early arrival makes it much easier, and the best options are the underground parking at the Indiana Design Center (via Veterans Way), the Midtown Plaza Public Parking Garage, or the Carmel High School parking lots.

Morning – Setup & Marshaling

  • 6:00am — Main Street / Rangleline Road / Monon Blvd Closed

  • 6:00am — Marshalling Yard Set Up (St Vincent Carmel)

  • 6:00am — Judge Office Set Up (Indiana Design Center, 2nd Floor)

  • 7:00am — Volunteer Group Meetings (Design District & St Vincent Carmel)
    If your assignment is the Marshaling Yard, please meet Mark Hindsley at the St Vincent Carmel South parking lot at 7am. If you assignment is the Arts & Design District, please meet John Leonard at the intersection of Main Street & Rangeline Road. Team members will receive apparel, credentials, maps and assignments.

  • 7:30amSponsor Load-in: Please unload in your designated area and remove support vehicles before 8:00am

  • 7:30am — Marshalling Yard Opens (St Vincent Carmel)

  • 8:00am — District Load-in Begins (see footprint)
    At 8am, all sponsors and partners should be in-place with the center roadway clear for the arrival of entrants.

  • 8:45am — Judge Breakfast Served

  • 9:00am — Judge Briefing, 2 hrs (IDC, 2nd Floor)

  • 9:30am — Awards Stage Set Up (IDC, South Lot)

  • 10:45am — Marshalling Yard Closed (St Vincent Carmel)

  • 11:00am — Ladies’ Luncheon sponsor/partner arrival at Matador (Main Street & Rangeline Road)

Midday – Show & Judging

  • 11:00am — Artomobilia Start / Judging Begins (Main Street & Rangeline Road)

  • 12:30pm — Lunch Available
    Lunch and beverages for Team members will be available in the Celebration Tent in the South Parking Lot of the Indiana Design Center.

  • 1:30pm — Judges to 2nd Floor (Tally & Confirm Class Winners)

  • 2:30pm — Judges Retrieve BIC/BIS Winners (Escort to IDC South Parking Lot)

Afternoon – Awards (Indiana Design Center Main Stage)

  • 3:00pm — Awards Open: John Pitz & Sue Finkam

  • 3:05pm — Porsche Classic Winner: John Pitz

  • 3:15pm — Palooza BIG Winners: John Pitz

  • 3:30pm — Artomobilia BIC Winners: John Pitz

  • 4:40pm — Artomobilia BIS Winners: John Pitz

  • 4:55pm — Closing Remarks: John Pitz

Team Assignments

Volunteers are organized into two groups at the start of the day. The Marshaling Yard Team, led by Mark Hindsley (317.509.7661), will meet at the St. Vincent Carmel South parking lot at 7:00am. The District Teams, covering Entrance, Parking, and Stage and led by John Leonard (317.313.5200), will meet at the intersection of Main Street and Rangeline Road.

  • Marshaling Yard Team. This team receives entrants as they arrive, hands out Show Day Materials, and stages vehicles before they move into the Carmel Arts & Design District. This is the first point of contact for most entrants, so a smooth, organized start here sets the tone for the whole morning.

  • Entrance Team. Two entrance teams work the district's edges, one on the North at Rangeline Road and one on the West at Main Street. Each team stays in communication with the Marshaling Yard team leader to manage the flow and congestion of entrants moving into the Arts & Design District. Each entry point also includes a Carmel Police Department counterpart, and the two work together to keep entrants moving in efficiently.

  • Parking Team. The Parking Team works with entrants as they reach their area, guiding them into place so cars are parked in an organized, uniform way. This team migrates with the cars as they park: on the Main Street Team will begin on east Main Street moving from east to west. The Rangeline Team will begin on South Rangeline Road moving from south to north, and on Monon Team will begin on South Monon Blvd moving from south to north. Note that the Palooza groups, including Mercedes, BMW, and Lotus, are managed by their own club members and will need much less help than entrants in the standard groups.

  • Stage Team. This team sets up the stage area, including the backdrop, sound, red carpet, and awards table, making sure everything is in place and ready for the awards presentation.

  • Hospitality Team. This team is responsible for managing the Scoring & Tabulation areas of the Judges, Volunteer Lunch as well as the Celebration Tent areas. This team will also have responsibility for managing the trash receptacles with the help of Mainscape. Meg Osbourne (317.590.7522) will have responsibility for the Hospitality Team.


Artomobilia Technical Event Map

The event footprint map is the master placement document for Artomobilia, showing where every vehicle group, sponsor activation, and feature display sits across the full show. Rangeline Road anchors the layout, with the display running north to south along Main Street and the surrounding blocks, and the Awards Area staged separately with its stage and tent. Each labeled block on the map corresponds to a registered group, from the judged classes and marque Paloozas (Porsche, Lotus, BMW, Mercedes) to sponsor and partner placements and featured collections like the Lane Motor Museum cars. Teams use it to coordinate staging, load-in, and on-site positioning, and to give sponsors and partners a clear picture of where they will be located throughout the event.


Weather

Indiana’s weather is predictably unpredictable. Check the forecast and wear what’s appropriate… That could be a jacket, a rain coat or a T-shirt. Our events always run in both liquid sunshine or actual sunshine, we always hope for the latter.
